Electronic shelf labels vs paper price tags

Paper price tags have run shops for a century, and for a small single till they still work fine. Electronic shelf labels (ESL) are a different trade — more upfront hardware, far less ongoing labour, and a shelf that always matches the till. Here's the honest breakdown, tradeoff by tradeoff.

Labour cost of reprinting

Every price change on paper means the same cycle: edit the price list, print new tickets, walk the floor, peel off the old one, stick the new one — repeated across every facing that changed. A single seasonal repricing can tie up staff for a full shift or more. With ESL, the same change is typed once in the Vitrine platform and pushed to every matching tag at once. The labour cost doesn't scale with the number of tags — it stays roughly flat whether you're changing five prices or five thousand.

Price-mismatch and compliance risk

Paper tags drift out of sync with the till the moment a price changes in the system but hasn't been reprinted yet — which, in a busy store, is most of the time. That gap is where a customer gets rung up at a different price than the shelf showed, which erodes trust and can trigger a consumer-protection complaint or an on-the-spot refund. Electronic tags update from the same source of truth as the till, so the shelf and the register change together — there's no window where they disagree.

Paper waste and consumables

Paper tags are a recurring cost that never stops: label stock, toner or ribbon, laminate for wet areas, and the bin they eventually go in. It's a small line item per ticket, but it repeats forever, for every price change, forever. ESL tags are printed once — in e-paper, not on paper — and then simply redraw. The consumable cost disappears; what's left is battery replacement, measured in years, not reprint cycles measured in days.

Update speed

A paper repricing run is a project — someone has to generate the tickets, print them, and physically walk the store. It typically takes hours to days depending on store size. An ESL push reaches every tag in the store in seconds to a few minutes, because it travels over the gateway network rather than a printer and a trolley. That difference matters most when a competitor moves first, or a promotion needs to start the moment it's approved rather than the next morning.

Upfront cost vs recurring cost

This is the real tradeoff, and it's worth being direct about it. ESL has a real upfront hardware cost per shelf — the tag, and a share of the gateway and platform that drives it. Paper has close to zero upfront cost; its cost is entirely recurring, in labour and consumables, forever. Whether ESL pays for itself depends on how often prices actually change and how many facings there are — a store that reprices rarely will take longer to break even than one running weekly promotions across a large range. There's no universal number here; it depends on your store's update frequency and facing count, which is exactly what a pilot is for.

Battery life

ESL tags are battery-powered, not wired — a fair question is how often that battery needs attention. E-paper only draws power while the image is actually redrawing, then holds the image with zero power in between. That's a fundamentally different power profile from a screen that stays lit, and it's why a single coin cell typically runs for years under normal update frequency rather than weeks. Very frequent updates (multiple times a day, every day) will draw it down faster than a store that reprices a few times a week.

When paper still makes sense

Being fair to paper: a tiny single-location shop with a short, rarely-changing product list may not see enough repricing activity to justify hardware investment. If prices move once a season and the whole store is a few dozen facings, the labour saved by ESL may be small in absolute terms, even though the mismatch and waste problems are technically still there. The case for ESL gets stronger with more facings, more frequent price changes, more branches to keep in sync, or stricter accuracy requirements — that's where the recurring cost of paper adds up fastest.
